You'll need admin access to these. If you're not the owner, forward this page to them.
1. Meta Business Manager
Must be verified. Check: business.facebook.com → Business Settings → Business Info → Verification status = Verified. If not, start now — it takes 5 minutes to 2 days.
2. Phone number
This is where most onboardings fail. Your number must be able to receive an SMS or voice call (for the one-time code), and must not currently be active on the WhatsApp personal or Business app, or be a VOIP/toll-free/shared number.
Already using this number on WhatsApp? On your phone: WhatsApp → Settings → back up chats, then Settings → Account → Delete Account, enter the number, delete. Wait a few minutes, then connect here. The number moves to the WhatsApp Cloud API — you'll manage it through this connection, not the mobile app, and message history doesn't carry over.
3. Display name
What customers see — hard to change afterwards. Must match your business/website name, 20 characters max, no ALL CAPS or extra symbols. Good: "Hitchin Bikes". Bad: "HITCHIN BIKES!!!"

After you're connected
You must collect opt-ins — Meta will restrict your number if you message people who didn't ask for it. Suggested wording for your checkout form or website:
"I agree to receive WhatsApp messages about my order and support from [Your Brand Name]. Reply STOP to opt out."
Your first message to any customer must be a Meta-approved template from your WABA (manage these in Business Manager → WhatsApp Manager → Message Templates). Marketing templates need Meta approval, typically 5 minutes to 24 hours.
FAQ
Will I lose my chat history?
If the number was previously on WhatsApp, yes — the Cloud API starts with a clean inbox. Back up first.
Can I still use the WhatsApp mobile app?
No. Once connected to the Cloud API, the number can't be used in the app.
What statuses do you use?
Five: pending (onboarding started, not yet verified), active (working), expired (access needs reconnecting), banned (disabled by Meta), revoked (access removed, by you or Meta). There's no separate "flagged" status — Meta's own quality warnings (see below) aren't stored on our side, and we log restriction/violation events rather than acting on them automatically.
It says FLAGGED or RESTRICTED in Meta Business Manager?
That's Meta's own quality system, separate from the status above: green (good), yellow (warning), red (critical). If you see this, improve it by only messaging opted-in users, keeping messages useful, and reducing frequency. Your connection with us stays active unless Meta fully disables your account.
What permissions do you ask for?
Business Manager access (business_management) and WhatsApp account management and messaging (whatsapp_business_management, whatsapp_business_messaging) — nothing else. Your access token is stored encrypted and never logged.
